The Opportunity

You'll be our first full-time operations hire — a foundational role with real ownership and a clear leadership trajectory. As Lead VA, you'll support our initial clients across executive assistance, admin operations, and systems work. As we grow, you'll help shape how we deliver services and eventually lead our Philippines-based team.

What You'll Do

Client Service Delivery

  • Serve as the primary operations support for 2-4 client accounts
  • Manage executive calendars, inbox triage, and scheduling
  • Coordinate across stakeholders (internal teams, vendors, clients)
  • Handle research, document preparation, and administrative workflows
  • Attend client meetings, take notes, and track action items
  • Manage project boards (Asana, ClickUp) and keep tasks moving
  • Draft communications, reports, and briefing documents

Systems & Operations

25%
  • Build and maintain SOPs for recurring client workflows
  • Identify inefficiencies and propose process improvements
  • Support CRM hygiene and data management
  • Help implement automations and streamline manual tasks
  • Document best practices as we scale

Team & Culture Building

15%
  • Contribute to shaping RAY8 Works' internal culture and values
  • Participate in weekly team syncs and planning sessions
  • Provide input on hiring as we grow the team
  • Eventually: onboard and mentor new team members

Who You Are

Required

  • 5+ years of experience in executive assistance, operations, or administrative roles
  • Excellent written English — you can draft professional emails and documents without heavy editing
  • Strong systems thinking — you see how pieces connect and can design workflows, not just follow them
  • Proficiency with: Google Workspace, project management tools (Asana, ClickUp, Monday), CRM systems, Slack
  • Self-directed and reliable — you manage your own time and communicate proactively
  • U.S. business hours overlap — minimum 4 hours with Eastern Time
  • Stable internet and dedicated workspace

Preferred

  • Experience supporting founders, executives, or leadership teams
  • Background in agencies, startups, or fast-paced environments
  • Familiarity with automation tools (Zapier, Make) or AI-assisted workflows
  • Experience training or mentoring junior team members

Compensation & Benefits

₱100,000–₱120,000/month

Schedule

40 hours/week. Core overlap: 8am–12pm ET (8pm–12am PHT) required. Remaining hours flexible.
